How does an on-site headshot day work?
When you book an on-site headshot day, I bring my portable studio equipment and set up in a designated space, usually an empty conference room or office. The goal of these is to maximize the quality of the photographs, while minimizing the impact on your work day. Each person will come in, we'll have a quick chat, get some great photos, and then on to the next person.
Will this disrupt our workday?
That's exactly what the on-site format is designed to avoid. I bring everything with me, set up in a space you're not using anyway, and keep each person's session to about 15 minutes — so employees step out, get photographed, and get right back to what they were doing. Setup and takedown happen entirely on my end, before and after the shooting window, so there's no lost time on your side beyond each employee's actual slot.
How is pricing structured?
Corporate headshot sessions are priced as a base fee plus a per-person rate, rather than a single flat package. A half-day session is $750 plus $50 per person, for up to 8 people (a fully booked half day totals $1,150); a full-day session is $1,500 plus $50 per person, for up to 16 people (a fully booked full day totals $2,300). Groups larger than 16 require a second half- or full-day booking rather than an hourly overage, since 16 people is the practical limit for a single day's setup and shooting schedule. Clients are billed for the headcount reserved at booking, regardless of day-of attendance, and employees who miss their session can be added via a separate makeup-day booking.
What if fewer employees show up than we booked?
You're billed for the headcount reserved at booking, not the number who actually attend — this is what lets me hold the full day exclusively for your team, rather than trying to fill gaps with other clients. If you're worried about no-shows, the make-up session option is the right way to handle stragglers without losing that slot.
How much space do you need on-site?
Ideally a space around 12'x15', but typically an empty conference room, office, or lobby corner is functional. Just enough space to set up my lighting gear, camera, and laptop stand. My goal is to be minimally invasive or disruptive to your day.
How long does each employee's session take?
I try to aim for around 15 minutes per person, with a 5 minute buffer in-between. Setup and takedown takes between 45 minutes and 1 hour to get things dialed in, and for full day sessions, I build in a lunch break.
Can employees choose their background?Typically for an employer-booked session we will choose the backdrop beforehand to maximize consistency between employee photographs. I have multiple backdrop options, and we can discuss what will look best for your employees. If you want employees to be able to choose, we can certainly set up that option during our planning session.
What should employees wear?
This will also be a thing we discuss during our planning meeting, so that we can provide advice to maintain a consistent look across your employee photos. Generally speaking, lighter colors, neutral tones, and solids are the best for photos. When we have our planning conversation, we will discuss whether or not the order of the day is business casual, uniform, or business formal is most suitable for what you want to project. I will provide a customized preparation guide before picture day that you can share with your employees.
What happens if someone is out sick, or needs to be photographed at a different time?
I offer the option of a make-up session that can be added on if you foresee this possibility. The cost is $250, and that includes up to 3 of the individuals originally booked. Additional people beyond 3 will be billed at a rate of $50/person.
What about new hires and updates?
I'd love to discuss an ongoing relationship to keep your new hire photographs consistent, and to periodically come and update your photos to make sure they remain fresh and contemporary. Just let me know this is something of interest to you during our initial conversation, and we can have a conversation about how such a relationship might work.
What is the turnaround time on the team's photos?
Standard turnaround is 2 weeks. If you need your team's photos faster, rush delivery (within 48 hours) is available for an additional $15–25 per person, added to your final invoice.Final images are delivered in jpeg format - in both Full Size/Top Quality for print, and "Sharing Size" which are best for use on the web, for profile pictures, social media, etc.
What are the usage rights?
Standard usage rights are included - internal use, website, social media use, etc. Print rights for large ad campaigns, billboards, etc. are negotiable upon request.
Can we book multiple offices or locations?
Certainly! Please include that information when contacting me, and we can discuss the logistics in more detail.
How far in advance do we need to book?
I recommend booking at least 2 weeks in advance of your shoot day, to provide sufficient time for our planning meeting and any additional logistics that we may need to work out. If you're working on a rigid deadline, let me know and I will try my best to accommodate as I'm able.
